POSITION TITLE: ADMINISTRATIVE SUPPORT CLERK
REPORTING PROTOCOL: REPORTS TO DIRECTOR OF ONTARIO WORKS
POSITION SUMMARY:
To provide a range of support services to the management team, client/applicants and the public regarding provincial social assistance programs. The Assistant will also be responsible for clerical, filing correctly correspondence with clients, organizing staff meetings, and recording minutes. Assistant will be responsible for preparing our monthly newsletter, preparation of mail out letters and financial assistance. Office assistant will be responsible for maintaining our OW Facebook page, sharing job opportunities, employment training and school credit courses and promoting the FN activities that encourage the well being of our members. Other duties include but are not limited to preparing for the annual Toonie Auction, Christmas toy tree and gift certificates program.
EDUCATION/PROFESSIONAL REQUIREMENTS:
▪ Minimum Grade 12
▪ College Diploma in Business, Office an asset
SKILLS REQUIRED:
▪ Organizational and time management skills to prioritize own workload to meet conflicting demands and ensure deadlines are met. Ability to work effectively in a team and independently.
▪ Oral and written communication skills to: deal effectively with clients, colleagues and the public by phone, computer and in person. Convey messages and information in a clear and concise manner using correct terminology. Receive and send electronic messages.
▪ Office administration skills to maintain records management systems and supply levels, operate routine office equipment and respond to malfunctions. The ability to work in automated environment using on-line databases and various Windows based computer applications.
▪ Tact and Interpersonal skills and client centred customer service skills, including effective listening an self-control techniques to elicit information from a diverse clientele and the ability to deal effectively with a high volume of clients with disabilities through a variety of communication mode i.e. face-to-face, phone and computer.
▪ Judgement and impact of errors to determine sensitivity of information being requested, provide appropriate messages and information, and apply polies/procedures when providing information.
▪ Assess the nature of inquiries and refer more complex inquires to other staff and urgent/sensitive/contentious inquires /issues to manager.
▪ Experience in First Nation office environment an asset.
▪ Must be punctual and maintain good attendance.

▪ A valid class G driver’s license and reliable vehicle is required.
