Program Assistant, Corporate Services Division – (1 full-time position)
The Middlesex-London Health Unit has an exciting opportunity for 1 full-time Program Assistant to work on the Corporate Services division at the Citi Plaza location, London Ontario.
KEY RESPONSIBILITIES:
Reporting to the Manager, Privacy, Risk and Client Relations (PRCR), with matrix reporting to other divisional leaders, the successful candidate will:
Provide administrative support for the Corporate Services division including the PRCR, Human Resources, and Operations teams and leaders.
Provide administrative support and backup coverage for all other administrative roles within the Corporate Services division.
Manage multiple email inboxes, triage urgent, time sensitive messages, including Privacy, Human Resources, and Operations inboxes; prioritize and triage email appropriately.
Monitor and triage calls and voicemail on HR phone hotline.
Manage Policy Manager, uploading policies, managing attestations and working with individuals on policy completion.
Data entry and data management support in the Human Resources Information System (Dayforce).
Run routine reports, prepare statistical reports, file documents, and perform other record-keeping.
Calendar management and support for Corporate Services leaders.
Schedule and attend team and division meetings and take minutes as required.
Maintain, filing, and retention of client and employee files.
Maintain client and employee confidentiality and ensure that all information is collected and stored in accordance with MLHU policy and privacy legislation.
Perform other duties as assigned.
QUALIFICATIONS:
Post-secondary program in administrative studies of at least one year.
Knowledge and experience in Privacy, Human Resources, Client Relations, and/or Patient Relations would be considered an asset.
Demonstrated ability to enter data with a high level of accuracy and speed.
Proficiency in MS Excel, Word, Outlook and other Microsoft Office applications.
Professional demeanor with proven customer service skills, a resourceful attitude, effective communication skills, and strong discretion to deal with sensitive and/or confidential information.
Exceptional organization skills and the ability to balance multiple priorities/inquiries/requests to perform independently and effectively.
Ability to work flexible hours.
Skills and Knowledge to work with an increasingly diverse population, has knowledge of health & inequities.
Communication proficiency (written and verbal) in French and/or any other languages is highly desirable.
The Hourly wage for this position ranges from $23.92 to $29.90 based on qualifications and experience.
