BACKGROUND:
We are the Anishinaabeg of Deshkan Ziibiing, also known as Chippewas of the Thames First Nation. We call ourselves Anishinabek, which means the original people. We are known as the Ojibway, a Nation of the Algonquin language family who originally migrated to the Great Lakes area from the north-eastern region of North America. Our political alliances are with the Odawa (Ottawa) and Bodaywadami (Pottawatomi), who form the Three Fires Confederacy. We have a modern air-conditioned school with a full-sized double-gym, outdoor track, a full cafeteria and a new library. Class sizes are small and well stocked with current resources, a Smartboard and ample access to current technology.
Cultural Awareness Statement: Demonstrate knowledge of culturally relevant pedagogy and learning techniques, socialization processes, attitudes, values, aspirations, and expectations of the Nation. Must have the ability to respectively use tact and discretion to establish and maintain effective communications. An appreciation of the Anishinaabemowin language is required and the desire to learn the language. Performs a variety of secretarial and administrative duties to provide necessary support to the school, students and parents while ensuring that integrity of information is maintained and that the office operates efficiently. Work such as typing, word processing, filing, duplicating, updating student and teacher information and processing mail is performed under the general direction of the School Principal.
QUALIFICATIONS:
- Secondary School Diploma and two (2) year relevant post-secondary diploma.
- Minimum two (2) years’ experience in an office setting. Experience in education setting is preferred
- Experience with Trevlac, Microsoft Word Office (word, excel, etc.), E-mail and internet experience.
- Ability to problem solve issues, multi-task, prioritize, maintain confidentiality and exercise sound judgment in stressful situations
- Proficient and competent in computer systems such as Outlook 365, MS Office Suite, etc.
- Excellent interpersonal skills with effective communication skills, both orally and written
- Ability to work both independently and part of a team
- Require little or no supervision
- Knowledge of general office procedures
- Clean CPIC/Vulnerable Sector
- CPR & First Aid Certified
Under the supervision of the ARES Principal, the school secretary is responsible for:
- Perform receptionist’s duties by answering telephone inquiries, retrieving voice mail and providing assistance to students, teachers and parents with respect to attendance.
- Update, maintain and verify attendance records and carry out follow-up calls to parents.
- Compile and retrieve e-mail messages and forward to the correct staff member.
- Type correspondences, forms, reports, news bulletins, etc. for the principal as directed.
- Assist with the preparation, production, verification and distribution of student report cards
- Create and issue monthly newsletter to the ARES community
- Responsible for the production and printing of class lists and ensuring the list remains up-to-date
- Responsible for the production and printing of staff lists and ensuring the list remains up-to-date
- Operate equipment such as the computer, telephone, fax machine, public address system (PA), and photocopier and make certain the maintenance of these machines are kept in order (adding toner, calling for service, troubleshooting for photocopy machine).
- Assist with first aid procedures, and secure further assistance under the guidance of the principal.
- Ensure the First Aid kit in the school is stocked
- Dealing with safety and emergency issues when they arise.
- In collaboration with COTTFN Health – ensure our students have their vaccinations and/or schedule vaccination clinic in partnership with the Health Department for ARES students.
- Order and maintain supplies, materials, books and keep inventories
- Compile, verify and complete school reports as directed by the principal.
- Complete student transfer in/out requests and provide documentation to the education office for nominal roll purposes
- Oversee all students registration
- Oversee the ARES staff timesheets and prep them for approval (keeping track of staff arrival/departure/sick time, etc.)
- Maintain the school attendance cellphone
- Coordinate, chair take meeting minutes and follow up on ARES staff meetings
- Review and reconcile purchasing card statements and other expense reports in accordance with policy for the ARES Principal and submit to the Education office (monthly)
- Create the monthly school calendar for the distribution
- Assist with the scheduling of parent-teacher interviews
- Assist with bus route development and share with driver’s and Langs
- Be the main point of communication and liaison with students, staff, and the public
- Completion of special projects when assigned by the principal
- Perform other duties as assigned which are unplanned and of a transient nature and are consistent with the above job summer and duties.
Language/Culture:
- Attend Anishinaabemowin staff classes
- Promote Anishinaabemowin language in the school
- A willingness to learn the language
- Strongly encouraged to attend community events representing COTTFN Education ex. Pow Wow, Community Feast etc.
Hours of work: Monday-Friday 8:30 AM – 4:30 PM
