The Southern First Nations Secretariat is now accepting applications for the position of

Trusted Source Coordinator

(Full-time, 12-month Contract)

POSITION REPORTS TO: Executive Director

POSITION SUMMARY: In accordance with the established policies, procedures, and directives of the Southern First Nations Secretariat (SFNS), the Trusted Source Coordinator will plan, organize, and execute the Trusted Source program in partnership with Indigenous Services Canada (ISC) on Secure Certificates of Indian Status (SCIS) Registrations and S-3 Outreach. The Trusted Source Coordinator will support the understanding of applicants relating to registration, and Secure Certificates of Indian Status and facilitate SCIS applications for already registered individuals.

DUTIES & RESPONSIBILITIES:

  • Develop and implement an annual work plan and priorities to ensure goals and objectives of the Trusted Source program are met.
  • Monitor program budgets. Review and approve all program expenditures.
  • Coordinate and complete SCIS training with ISC.
  • Provide SCIS registrations and S-3 outreach to First Nation members.
  • Plan, organize, and execute SCIS mega clinics in each of our member First Nations at least once a year on a date/time mutually agreed to with each First Nation.
  • Collect program evaluation information and continually improve service delivery.
  • Market our services, including sharing registration, SCIS information, and legislative changes in collaboration with our Communications Officer.
  • Coordinate a regional network of Membership Clerks/ Indian Registration Administrators where best practices and lessons learnt can be shared.
  • Carry out the functions required for Indian Registry reporting in accordance with the Indian Act, federal and provincial statutes, and the procedures of the Indian Reporting system.
  • Prepare monthly statistics as required by ISC including the number of SCIS applications facilitated.
  • Share general activities and statistics with our member First Nations regularly.
  • Provide regular reporting on results.

STATEMENT OF QUALIFICATIONS:

Basic Requirements (Mandatory & Minimum):

  • Minimum of Grade 12/GED;
  • Must successfully complete Indian Registration Administrator training with Indigenous Services Canada; and
  • Must maintain strict confidentiality of information from Indigenous Services Canada (ISC) regarding Indian Registration and Band Membership.

Rated Requirements:

  • Strong verbal and written communications skills;
  • Strong customer service skills. Must be able to relate well with community members, coworkers, and the general public;
  • Able to work independently;
  • Available to work some evening and weekends;
  • An understanding of data reporting and analytics;
  • Exceptional organization and time-management skills and ability to prioritize multiple tasks to meet strict deadlines;
  • Awareness and sensitivity to realities of First Nation people and communities is an asset;
  • Willing to travel, valid driver’s license, and unrestricted access to reliable transportation; and
  • Willingness to provide a police check.

PHYSICAL DEMANDS:

  • Sitting for long time periods in office at a desk, computer terminal, or in meetings;
  • Required to drive a vehicle to perform duties; and
  • Occasional medium lifting (maximum 50 pounds).

SALARY RANGE: $43,000 – $45,000 per annum based on experience and qualifications.
