Executive Assistant – Child, Youth & Family Wellbeing

REPORTS TO: Director of Child, Youth & Family Well-Being
DEPARTMENT: Child, Youth and Family Well-Being
LOCATION: Chippewas of the Thames First Nation: 328 Chippewa Road, Muncey Ontario
TERM: Full-time, Monday to Friday, 8:30am- 4:30pm EST. Evening and weekends may be required

Summary:
Chippewas of the Thames First Nation is seeking a highly organized, detail-oriented Executive Assistant to provide high-level administrative support to the Child, Youth and Family Well-Being (CYFWB) Director. This position plays a key role in supporting the operational and governance activities of the CYFWB Program and contributes to the overall wellbeing of children, youth, and families in the community.

The Executive Assistant will serve as a liaison, manage schedules, assist in project and event coordination, and ensure the efficient operation of the CYFWB Office. This role requires confidentiality, professionalism, and a deep understanding of First Nation governance, culture, and values.

Responsibilities:
• Provide administrative support to the CYFWB Director including managing schedules, preparing professional correspondence, and maintaining filing systems.
• Coordinate meetings: schedule, prepare agendas, take minutes, and follow up on action items.
• Liaise with community members, internal staff, stakeholders, government officials, and political representatives on behalf of the CYFWB Director.
• Assist in planning and organizing program projects, events, and initiatives.
• Coordinate travel, accommodations, meeting logistics, and prepare briefing materials.
• Prepare draft reports, presentations, memos, and communication materials.
• Monitor program records, maintain confidential documents, and assist with financial processing.
• Travel with the CYFWB Director locally, regionally, and provincially as needed.
• Participate in community events and represent the CYFWB Program in a professional manner.
• Support the annual review of governance and operational policies and procedures.

Knowledge, Skills & Abilities:
• Knowledge of Ojibway culture and First Nation child welfare practices.
• Strong organizational, time management, and problem-solving skills.
• Ability to work independently and collaboratively in a fast-paced environment.
• Experience with digital communications and social media is an asset.
• Capacity to remain composed and professional under pressure.

Experience and Qualifications

Qualifications:
• Minimum 5 years of experience in an administrative or executive support role, preferably in a First Nation or social services setting.
• Strong knowledge of Chippewas of the Thames First Nation programs, culture, and governance.
• Excellent written and verbal communication skills; able to produce professional documentation.
• Proficient in Microsoft Office and other digital tools.
• Demonstrated ability to manage multiple tasks and meet deadlines.
• Experience coordinating events, managing calendars, and supporting high-level meetings.
• High level of discretion and ability to maintain confidentiality.
• Valid “G” driver’s license, access to a reliable vehicle, and $1M auto insurance.
• Clear CPIC and Vulnerable Sector Check required
