Atlohsa Family Healing Services is an Indigenous led non-profit organization in Southwestern Ontario dedicated to empowering Indigenous communities through traditional and land-based healing practices. Since 1986, we have provided low-barrier, wraparound services to individuals and families facing complex challenges such as mental wellness, substance use, homelessness, and domestic violence. Our holistic wellness approach is rooted in the Seven Sacred Grandfather Teachings and the Medicine Wheel Teachings, utilizing a Two-Eyed Seeing approach that emphasizes collaboration, mutual respect, and the recognition that both Indigenous and Western knowledge systems contribute to a more comprehensive understanding of the world.

Role and Responsibility

The Executive Assistant is responsible for providing high-level administrative support to the Director’s Circle within the organization. The Executive Assistant will manage schedules, coordinate meetings, handle correspondence, and ensure smooth communication between members of the Director’s Circle, the Board of Directors, and various stakeholders. The Executive Assistant plays a pivotal role in optimizing efficiency and effectiveness of the executive leadership team by handling administrative tasks and facilitating their workflow.

Responsibilities include:

  • Provide high-level administrative and executive support to senior leadership and the Board of Directors in a community-based, Indigenous-led non-profit environment.
  • Manage and coordinate executive and Board calendars, including scheduling and confirming meetings, appointments, and travel arrangements.
  • Prepare, format, review, and edit correspondence, reports, presentations, briefing materials, invoices, and other documents for executive and Board review and signature.
  • Screen, prioritize, and manage incoming communications (email, phone calls, and written correspondence), responding or redirecting as appropriate.
  • Coordinate and support meetings, gatherings, and special events, including logistics, agenda preparation, materials distribution, and follow-up.
  • Accurately record, transcribe, and distribute meeting minutes for Board of Directors and Executive Team meetings.
  • Anticipate executive leadership and Board needs, solve problems proactively, and provide insights to support decision-making.
  • Organize, maintain, and manage confidential records, files, correspondence, invoices, and receipts in accordance with organizational policies and privacy requirements.
  • Conduct research and compile data to support reports, funding requirements, presentations, and leadership decision-making.
  • Act as a respectful and professional liaison between leadership and internal and external stakeholders, including staff, community members, partners, funders, and service providers.
  • Uphold a high standard of confidentiality, cultural safety, and professionalism when handling sensitive information and interactions.
  • Represent the organization positively and respectfully, reflecting its mission, values, and commitment to Indigenous communities.
  • Assist with the maintenance and updating of the organization’s website and social media platforms. This includes posting of events, agency communications, and replying to comments and messages.
  • Manage the schedule for casual Receptionists, including coordination of short notice call-ins.
  • Support additional executive and organizational priorities assigned, including ad hoc assistance to senior leadership.

Experience and Qualifications

Suitability

  • Proven experience as an executive assistant or in a similar administrative role (minimum three years’ experience preferred), ideally in a fast-paced environment.
  • Degree or diploma in administration, business, or a related field preferred.
  • Excellent verbal and written communication skills, including strong writing, editing, and proofreading abilities.
  • Strong organizational and time-management skills, with the ability to prioritize tasks and manage competing demands.
  • High level of discretion and professionalism when handling confidential and sensitive information.
  • Ability to work independently with minimal supervision, as well as collaboratively as part of a team.
  • Proficiency in office software, including Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Strong attention to detail and accuracy, with a commitment to high-quality work.
  • Adaptability and flexibility to respond effectively in a dynamic, changing environment.
  • Strong interpersonal skills, with the ability to work sensitively, tactfully, and diplomatically in a diverse environment.
  • Problem-solving skills, with the ability to anticipate needs and proactively address issues
  • Typing speed of at least 40 words per minute.
