CCC Job Opportunity: Indigenous Leadership Assistant

This is posting will remain active until the position is successfully filled.

Carolinian Canada Coalition (CCC) is a network of leaders growing healthy landscapes for a green future in the Carolinian Zone, Canada’s extraordinary far south, in the spirit and practice of reconciliation. As a charity, we connect science, community and business for healthy ecosystems and climate-smart neighbourhoods from Toronto to Windsor, Ontario.

Our cross-sector platforms connect 300 groups, 5,000 volunteers and 37,000 hectares to save local wildlife, water and our way of life; and support 14 UN Sustainable Development Goals.

The CCC Indigenous Leadership Pillar was initiated recently by Indigenous Leadership Director Sam Whiteye to strengthen relationships with Indigenous communities and organizations; support and respect their wishes; apply TEK and science with a community approach; advise CCC team in meaningful ways toward truth and reconciliation; create safe spaces for Indigenous participation in environmental sector and in cross-sector platforms; grow opportunities to empower Indigenous youth to lead in safe spaces to create change.

As the assistant to the Indigenous Leadership Director, you’ll be responsible for managing the Director’s calendar, coordinating appointments and travel arrangements, preparing reports, handling confidential information, and ensuring that the Director’s day-to-day operations run smoothly. A large portion of the role includes representing the Director and maintaining relationships.

$55,000 to $60,000 per year full time.

Duties and Responsibilities

You will assist the Indigenous Leadership Director with a focus on:

  1. Support the day-to-day needs of the Director to grow the Indigenous Leadership Pillar such as:
  • Manage Director’s calendar, schedule appointments and meetings, and ensure that all relevant information is communicated to attendees.
  • Screen and prioritize all incoming communication, including emails, phone calls, and mail.
  • Prepare reports, presentations, and other documents as required by the Director.
  • Manage deliverables, ensure deadlines are met, tasks are completed and ensure emails are promptly responded to
  • Assist in building out budgets, processes, templates and reports to improve how we work day-to-day in order to improve efficiencies
  • Handle any ad-hoc tasks or projects as required by the Director.
  • Insert specific tasks
  1. Act as a liaison between the Director and other staff members, clients, and stakeholders such as:
  • Ability to represent the Indigenous Leadership Pillar while the Director is working offsite and/or away
  • Assist with networking by building relationships and fostering strong communications
  • Personable to assist in managing relationships, social skills
  1. Effective fundraising in collaboration with the team and assisting the Director to grow the Indigenous Leadership Pillar through membership, earned revenue and grants as needed such as:
  • Research and relationship-building
  • Contribute to proposal and report development and review on strict timelines
  • Support and promote a growing social enterprise
  • Network events
  1. Strong teamwork for the smooth operations, representation and growth of the organization such as:
  • Excellent written and verbal communication skills, report writing skills
  • Support the creation of ethical and safe spaces
  • Positive relationship-building with a diverse network, board and partners
  • Participate in communications, research, reporting, events, web updates, data input, team meetings, tracking deadlines
  • Manage your workplan in collaboration with the team, in a highly organized and efficient manner to manage multiple deadlines
  • Handle confidential and sensitive information with discretion and maintain confidentiality at all times.
  • Other duties as assigned

Education, Skills, and Experience

  • Minimum completion of college diploma in Business Administration, Communications, or a related field
  • Flexibility to deal with multiple needs in an ever-changing environment
  • Understand and utilize basic budgeting processes
  • Excellent attention to detail, particularly with quantitative information
  • Strong computer skills and the ability to learn new systems efficiently
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Proven ability to manage multiple tasks and priorities in a fast-paced environment.
  • Proficient in Microsoft Office Suite and other office software.
  • Experience handling confidential and sensitive information with discretion.
  • Ability to work independently and take initiative.
  • Ability to work remotely and travel
  • Familiarity with southern Ontario Indigenous communities, ecology or creation of safe spaces is an asset
