ONTARIO WORKS ADMINISTRATIVE FINANCIAL ASSISTANT (CONTRACT)

REPORTS TO: Ontario Works Administrator

DEPARTMENT: Ontario Works

LOCATION: Community Centre, 328 Chippewa Road, Muncey, Ontario

TERM: Full-time, Monday to Friday, 8:30am- 4:30pm EST, contract until March 2026 with potential for extension until November 2026

Summary:

Under the supervision of the Ontario Works Administrator, the Ontario Works Administrative Financial Assistant provides support but not limited to; Ontario Works staff members, clients, community members and partner organizations. Assists with office needs and managing general administrative activities to ensure the efficient and smooth day-to-day operations of the office. The Ontario Works Administrative Financial Assistant shall adhere to the Finance Policy and Procedures Manual. The role requires a strong commitment to confidentiality, cultural sensitivity, and client success.


Responsibilities & Duties:

Administration:

  • Maintain and distribute emails, correspondence memos, letters, faxes and forms;
  • Develops and maintains an electronic and physical filing system, to ensure easy retrieval of files and documents;
  • Scheduling meetings, appointments, and coordinate any travel arrangements
  • Processing invoices, filing sorting, recording and data entry; handle general office tasks
  • Provide support for departmental meetings, such as taking minutes and coordinating follow-up actions
  • Compile data and prepare monthly, quarterly, and annual reports
  • Support with community events and workshops

Finance:

  • Process invoices, payment requests, and receipts for goods and services.
  • Reconcile bank statements and credit card accounts.
  • Maintain and update the general ledger and financial records, if needed
  • Assist in the preparation of financial reports and statements.
  • Support internal and external audits by preparing documents and responding to inquiries.
  • Monitor and track project expenditures and budgets.

Teamwork/Collaboration:

  • Works collaboratively and ensures open lines of communication with Ontario Works team members to support the achievement of work plan activities designed to achieve identified goals and objectives;
  • Communicates and maintains regular contact with the Ontario Works Administrator;
  • Maintains regular attendance and participation in regular Staff and Case Conference/Case Management meetings;
  • Assists and/or participates in COTTFN special events, the Anishinabek Food Rights (AFR) program, any training and/or workshops when assigned by direct supervisor or designate;
  • Maintains clear written and verbal communication and initiates necessary debriefing opportunities with direct supervisor.

Professional Accountability and Development:

  • Ensures the highest degree of professionalism and customer service; abides by the employee code of conduct;
  • Understands and adheres to all Policies and Procedures;
  • Ensures accountability and transparency over responsibilities assigned within the Ontario Works Administrative Financial Assistant
  • Confidentiality over department and community member information is paramount

Experience and Qualifications

Qualifications:

Required:

  • High School Diploma or equivalent.
  • Minimum of 2 years’ related experience, preferably within a First Nation community.
  • Valid G2 (or higher) Ontario Driver’s License, reliable transportation, and proper insurance.
  • Strong organizational, time management, and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Publisher, PowerPoint, Outlook).
  • Ability to work both independently and collaboratively within a team committed to serving the Nation
  • Commitment to confidentiality and professional conduct.
  • Must be able to provide a clear Vulnerable Sector check upon employment.


Preferred:

  • College diploma or degree in Social Services or related field.
  • Experience working directly with employment and education agencies.
  • Knowledge and interest in social services and community development.
